Property Administrator
NLCC Service Group is a St. John’s based rental property management company which operated by mostly international background immigrants. We specialize in student rentals and newcomer housing service around Memorial University of Newfoundland. NLCC is aiming to be the top choice of both landlords and tenants in the residential rental market in St. John’s.
Job duties
- List vacated properties on the market. Communicate with prospective tenants.
- Assist tenants on move-in day and inspect the property on move-out day
- Training new tenants to understand house rules, and demonstrate the operations of using all appliances. For example: Dryer, Stove and Microwave.
- Helping with the marketing campaigns when required
- Monthly house inspection to some of properties (a list of properties will be provided) to make sure those properties are in good condition.
- Reporting any rule infractions, building upkeep, maintenance requirements, or tenant issues to the Property Manager.
- Investigating and resolving some of complaints made by tenants
- Open doors when tenant is locked himself out.
- Negotiate or approve rental or lease of various properties in a portfolio on behalf of property owners and ensure that terms of lease agreement are met
- Prepare and administer contracts for provision of property services, such as cleaning and maintenance, security services and alarm systems
- Coordinate the implementation of repairs, maintenance and renovations carried out on buildings and monitor progress and cost of work for property owners
- Compile and maintain records on operating expenses and income, prepare reports and review rents to ensure they are at market value
- Ensure that trouble calls received from clients or tenants are acted upon
- Administer damage deposits
- Process invoices for necessary review and approval in a timely basis
- Contact tenants to ensure timely collection of receivables
- Reconcile accounts and advise tenants of any outstanding amounts in a timely basis
- Input new accounting/lease administration data in a timely manner for new tenants & renewals, prepare lease abstracts and completion of any adjustments as required
- Primary point of contact for any billing and/or collection issues
- Track and maintain tenant insurance certificates
- Respond to general day-to-day inquiries and concerns from tenants
- Organize and maintain complete tenant and building related files
- Maintain filing systems for contracts, insurance certificate, tenant information, and other documentation
- Assist Property Manager with obtaining supplier, contractor quotations and assist with contract administration.
QUALIFICATIONS:
- 2 years’ experience in office and/or property administration ideally in Property Management
- Experience with DocuSign, setting up lease, charges and cash applications
- Experience in real estate, lease review, information and billing set, inputting information into DocuSign and other IT systems.
- Must have a positive “can do” and “willing to pitch-in” attitude
- Must be self-motivated, and can work both independently and as part of a team
- Outstanding written/verbal communication and interpersonal abilities.
- Excellent practical knowledge of MS Office applications (Outlook, Word, Excel, PowerPoint, MS Teams)
- Organized with the ability to prioritize and multi-task.
- Reliable with patience and professionalism.
- Ability to work with diversity and multi-disciplinary teams.
